E.1 ADMINISTRATIVE ASSISTANT TO THE VICE PRESIDENT FOR INSTRUCTION

General Statement of the Function : To serve as the administrative assistant in the office of the Vice President for Instruction and perform those duties and functions normally associated with a secretary/administrative assistant position. These general duties and functions will include general office duties such as typing, filing, computer operation, reception, telephone, scheduling, data collection, etc.

Duties and Responsibilities :

1. Maintain personnel files for all administrative, faculty, and professional staff including vacancy files. Coordinate adjunct faculty personnel files; 2. Collate pre-session workshop folders and assist with monthly collation of board folders; 3. Process graduation applications for students and complete diploma and cap/gown orders for graduation; 4. Assist with the annual revision of the College Catalog; includes editing and maintaining degree plans for curriculum; 5. Assist with the Strategic Planning Process, the Institutional Effectiveness Process, and SACS; 6. Maintain course syllabi files; 7. Process all overload contracts each semester; 8. Type materials required to maintain the functions of the office; 9. Maintain the files of the office; 10. Open and distribute the mail daily; 11. Maintain the College Calendar; 12. Answer the telephone; 13. Schedule appointments; and 14. Other duties as assigned.
