Policy Title: BOARD OF TRUSTEES SELF-EVALUATION

The Board of Trustees regularly evaluates its responsibilities and expectations. The evaluation process encourages self-reflection with an emphasis on performance and effectiveness of the Board as a whole. By participating in a regular and systematic self-examination, the Board is recognizing the important role it has in the effectiveness and continuous improvement of the overall institution. The self-evaluation instrument is a questionnaire consisting of both objective and open-ended questions approved by the Board of Trustees. The questionnaire is divided into three sections: (a) objective questions related to roles, duties, and authority; (b) objective questions related to effectiveness; and (c) questions allowing relatively open-ended commentary. The responses by each individual Board member are kept anonymous and confidential. The self-evaluation pertains to the Board as an aggregate body, not individuals. 1. In February of each year, an online survey instrument reflecting the approved questions will be posted to a secure environment accessible by members of the Board of Trustees. For members preferring a paper instrument, the same will be provided. At the February meeting of the Board of Trustees, members will be asked to complete the questionnaire by the March meeting. 2. At the March meeting, anonymous paper instruments will be confidentially collected by the Chairperson of the Board of Trustees for delivery to the Vice President for Institutional Research & Effectiveness. Also at the March meeting, members will be advised that the online survey is closed to additional responses. 3. Between the March and April meetings, the Vice President for Institutional Research & Effectiveness will tabulate responses to objective questions and summarize the results of open ended questions. Care will be taken in open-ended summaries to redact information that emphasizes the evaluation of an individual or limited number of individuals as opposed to the Board of Trustees as a whole. Un-redacted questionnaires (all responses) will be retained for secure delivery to the Chairperson at the April meeting. The tabulations and summaries constitute the Board Self-Evaluation Report. 4. At the April meeting, the Vice President for Institutional Research & Effectiveness will review the Board Self-Evaluation Report and provide a copy to each Board member for his/her review. 5. At the May meeting, the officers of the Board of Trustees will offer brief summaries of the report in regular session and allow for discussion on the Board Self-Evaluation Report presented at the April meeting. Self-evaluation occurs annually according to the following sequence of activities:
