G.24 ADULT EDUCATION (AE) DATA MANAGER/INTAKE SPECIALIST/ADMINISTRATIVE ASSISTANT General Statement of the Function : The Adult Education (AE) Data Manager/Intake Specialist/Administrative Assistant is a grant-funded position that reports directly to the Director of Adult Education/High School Equivalency (AE/HSE). This position serves as a technical and office assistant to the Director of AE/HSE by maintaining LACES Student Database and processing department payroll authorizations and other clerical duties. 1. Maintain AE enrollment records and compile class reports from all AE class sites; 2. Enter information into the LACES database for the AE program; 3. Maintain payroll records and submit pay request forms for AE/HSE personnel monthly; 4. Serve as support staff for AE/HSE instructors and examiners with student data questions; 5. Be certified as a Pearson VUE and a HiSET examiner; 6. Perform receptionist duties by greeting and assisting potential and current AE/HSE students and/or examinees; 7. Work to help AE students and HSE candidates at or near program completion transition to their next steps – be that college or career; 8. Attain at least twenty (20) hours of staff/professional development through activities provided by the Mississippi Community College Board, East Central Community College, and other state agencies and organizations. Online options are also available through the Literacy Information and Communication System (LINCS) website and will be approved by the director on a case-by case basis. Staff development hours will be recorded in the LACES database; 9. Audit reports for accuracy; 10. Perform clerical duties; 11. Support intake and orientation; 12. Assist in the security and maintenance of test materials; 13. Perform basic bookkeeping duties such as counting receipts, bank deposits, and payment vouchers; 14. Assist in preparing student folders and maintaining records of students’ progress; 15. Assists in proctoring and scoring diagnostic test; 16. Work as an effective member of the team to ensure the success of all students; 17. Travel once a week to each location to registered/TABE students for AE classes; 18. Collaborate with the Transition Specialist on transitioning students; and 19. Perform other duties as assigned. Duties and Responsibilities:
