E.19 ASSISTANT TO THE DIRECTOR OF FINANCIAL AID (SCHOLARSHIPS & OFF-CAMPUS AID) General Statement of the Function : The Assistant to the Director of Financial Aid (Scholarships & Off Campus Aid) reports directly to the Director of Financial Aid. This Assistant is responsible for assisting the Director of Financial Aid with various duties in the financial aid office and specifically with the scholarships and off-campus aid. 1. Perform general duties as they relate to the Financial Aid Office; 2. Answer all questions concerning financial aid and advise students as to the programs available to them and the application process for these programs. 3. Assist students with filing their applications and with any corrections that may be necessary. 4. Assist in maintaining a record on each student applying for financial aid. These records are to be kept for a number of years as set by the Department of Education regulations. 5. Assist with computer applications and data entry as required in the daily financial aid office functions. 6. Assist with the review of student records for the awarding of financial aid, the requesting of additional information and the verification process following all regulations and procedures. 7. Maintain the scholarship and outside aid records and assist with the coordination of these with other aid. 8. Request the scholarship award information from each scholarship supervisor prior to each school year and periodically during each semester. Complete the computer entry for each scholarship and review the various limits (such as ECCC scholarship limit and ECCC, MACCC, NJCAA athletic limits) to ensure the eligibility of the student. Assist with monitoring the coordination of scholarships with state and federal aid. 9. Complete the computer entry for the outside aid list received from the business office (multiple reports received throughout each semester). Assist with monitoring the coordination of outside aid with ECCC, state and federal aid. 10. Assist in the preparation of required reports including but not limited to Pell, MTAG, MACCC athletic. 11. Assist with the administration of the Mississippi Office of Student Financial Aid (MOSFA) Programs which include MTAG, MESG, HELP, and LEAP. Download the MOSFA awarded and canceled student reports as received from the MOSFA office (multiple reports during a semester.) Enter awards and adjustments into the computer. Review and monitor the limits, enrollment status, etc., for the students as entries are made. Assist with determining the funds to be returned to MOSFA. Assist with the review and preparation for update to the student accounts each semester. Assist with the reconciliation of records (MOSFA, financial aid office, business office) and MOSFA balancing reports each semester. 12. Assist with the financial aid appeal process and maintain the appeal records. 13. Maintain the records for the Tribal Scholarship program and assist with the completion of financial aid package forms for applicants of that program. 14. Assist students who transfer to other colleges by advising them of the proper transfer procedures. 15. Attend workshops and training sessions. 16. Perform other duties as assigned.
