ADMINISTRATIVE ASSISTANT TO THE VICE PRESIDENT FOR STUDENT SERVICES

General Statement of the Function : The Administrative Assistant to the Vice President for Student Services reports directly to the Vice President for Student Services. The Administrative Assistant will perform those duties and functions normally associated with a secretary/administrative assistant position. These general duties and functions will include, but will not be limited to, general office duties such as typing, filing, computer operation, reception, telephone, scheduling, data collection, etc.

Duties and Responsibilities :

1. Perform general office duties as assigned by the Vice President for Student Services; 2. Assist as needed in all areas of Student Services to include assisting academic counselors, financial aid, admissions, housing, police office, and student activities; 3. Assist with the supervision of work-study students; 4. Assist students and staff with the daily entry and retrieval of information relative to Student Services procedures; 5. Assist with preparing and mailing recruitment and retention letters, postcards, and other information to prospective and current students; 6. Enter contact information for high school juniors and seniors and nontraditional prospective students; 7. Assist with the compilation and processing of the student-athlete drug testing program; 8. Type materials needed to maintain office procedures; 9. Maintain the files of the office; 10. Open and distribute the mail daily; 11. Assist with the planning, preparation, and conduct of annual Student Services events, i.e., Dormitory Students meeting, Counselor Workshop, Senior Days, ECCC Awards Day, Endowed Scholarship Selection Committee, Scholarship Luncheon, Orientations, Who’s Who selections, high school awards ceremonies, and Fall Convocation; 12. Assist with the development and publishing of the Student Bulletin weekly; 13. Prepare, maintain, and mail leadership scholarship awards and collaborate with Financial Aid for awarding of the scholarships; 14. Prepare, maintain, and mail ACT scholarship awards and collaborate with Financial Aid for awarding of the scholarships; 15. Prepare and collect student services-related surveys; 16. Maintain, process, and ensure Student Services supplies and materials are available; 17. Process staff and student ID cards and parking permits and collaborate; 18. Collaborate with financial aid to determine scholarship eligibility after each semester’s grades are posted; 19. Answer the telephone; 20. Schedule appointments; and 21. Perform other duties as assigned.
