ADMINISTRATIVE ASSISTANT TO FACULTY

General Statement of the Function: To serve as the administrative assistant in the communications office and perform those duties and functions normally associated with an administrative assistant position. These general duties and functions include general office duties such as switchboard operation, typing, filing, computer operation, reception, scheduling, data collection, etc.

Duties and Responsibilities:

1. Operate the main switchboard of the College in a manner which provides a positive first impression with incoming callers; 2. Answer the telephone, direct, and connect the callers to the appropriate persons or offices; 3. Type materials for the faculty using the office computer to produce and maintain tests, syllabi, correspondence and reports; 4. Serve as receptionist for the College, and greet and direct individuals who request the services of the offices; 5. Coordinate the activities of the mailroom and supervise the use of the College’s postage meter; 6. Coordinate the use of the College’s copy machine to include calling for repairs and service, and maintaining the log of copies; 7. Maintain and order the supplies needed to operate the communications office and make recommendations to enhance the operation of the office; 8. Maintain the long-term storage of the files of the College; 9. Collect and maintain the data necessary to complete all reports required of the communications office; 10. Maintain the confidentiality and security of all work performed in the communications office; 11. Other duties as assigned.
