D.3 ADMINISTRATIVE ASSISTANT TO THE PRESIDENT

General Statement of the Function : Under the direction of the President the Administrative Assistant will assist the President in preparing for and following up on Board of Trustees’ meetings. In addition, the Administrative Assistant will also provide assistance in all aspects of the functioning of the President’s Office.

Duties and Responsibilities :

1. Open and distribute the mail daily; 2. Schedule appointments; 3. Answer the telephone; 4. Maintain the files of the office; 5. Type materials required to maintain the functions of the office; 6. Record travel requests daily; 7. Prepare mail-outs and agenda items for the monthly board of trustees’ meetings; attend the Board of Trustees’ meetings and prepare the minutes for distribution; 8. Attend the weekly administrative council meetings and prepare the minutes; 9. Prepare the minutes for the monthly meetings of the Presidents Council; 10. Assist with the Hall of Fame activity; 11. Maintain the ECCC Policies and Procedures Manual in both print and electronic formats; 12. Assist with budgeting matters; 13. Assist with accreditation preparation and process; 14. Assist the Office of Personnel Services with the compilation, distribution, collection and filing of all personnel evaluation materials; 15. Assist the Office of the Vice President for Instruction with the release, collection and filing of the statements of intent materials; 16. Prepare contracts for all personnel; 17. Attend the Executive Planning Council meetings and prepare minutes; 18. Handle the distribution of complimentary athletic passes; and 19. Other duties as required to maintain the effective and efficient functioning of the Office of the President.
