A. Provision for Allocations & Accumulation of Sick Leave

1. All full-time employees of East Central Community College will be allocated eight hours of sick leave accrued monthly for each month employed under an employment contract or a staff salary record; 2. Full-time faculty working on a nine-month contract will be allocated eight hours of sick leave for teaching 6-11 semester credit hours during the summer term. Full-time faculty working on a nine-month contract will be allocated 16 hours of sick leave for teaching 12 or more semester credit hours during the summer term. The additional hours of sick leave will be credited on the last day of the summer term (s) as applicable; 3. All employees not classified as full-time, but working 20 or more hours per week, will be allocated sick leave each month pro-rated in conformity to hours worked; 4. All full-time employees and those employees working 20 or more hours per week may accumulate unlimited sick leave. Any sick leave balance available to an employee at the time of separation of service from the College will be credited for retirement purposes with the Public Employees’ Retirement System (PERS). 1. Sick leave may be taken in half-hour increments (30 minutes) as determined by the total amount of time missed in a work day. A full day of sick leave is equivalent to 8 hours. Please note that any accrued compensatory time must be taken prior to the utilization of sick leave. 2. An employee will receive full compensation for each day of approved sick leave. Full pay will be deducted for each day missed after sick leave is exhausted (Please refer to section titled “Leave Without Pay” in this policy); 3. In case of either extended absence due to personal illness or injury of an employee or a qualified family member or frequent short-term absences due to the illness or injury of an employee or a qualified family member, the employee shall be required to provide documentation. Family Medical Leave (FMLA) paperwork must be completed for any extended absences. The paperwork for FMLA may be obtained from the Office of Human Resources. (Extended absence is interpreted to be any absence of more than three (3) consecutive/intermittent days of leave for the same illness, injury, or surgery. (Please refer to Policy 721.2, FAMILY MEDICAL LEAVE ACT OF 1993); 4. An employee may also apply for sick leave for up to three (3) days for the death of family members; four (4) days are allowed for funerals that require the employee to travel 200 miles or more one way. Any request for additional sick leave for death of family members must be made in writing and approved by the President. Family members will include spouse, children, grandchildren, parents, step parents, grandparents, brothers, sisters, father-in-law, mother-in-law, brothers-in-law, sisters-in-law, daughters-in-law, sons-in-law, uncles, and aunts; 5. Absences for sickness or death of other relatives (not listed in #4 above) and friends are not applicable to sick leave and should be included in personal or annual leave; 6. A sick-leave record-keeping system is maintained in the Office of Human Resources on a current basis so that any staff member may accurately determine his/her sick leave entitlement at any time.
